- Monitor and track vehicle downtime (VOR), repair progress, and parts availability.
- Coordinate communication between customers, dealerships, technical teams, warranty, and parts departments.
- Proactively monitor outstanding repairs and escalate delays to minimise vehicle off-road time.
- Prepare, compile, and maintain accurate weekly and monthly fleet performance reports.
- Maintain detailed records and documentation relating to fleet service cases.
- Provide administrative support to the Fleet Service Department.
- Respond to internal and external customer queries professionally and efficiently.
- Ensure compliance with company policies, procedures, and service level agreements.
- Assist with coordinating cross-functional activities to improve operational efficiency and customer satisfaction.
- Matric certificate.
- Qualified Trade Test Technician.
- Relevant tertiary qualification will be advantageous.
- Minimum 3 years' experience in an automotive administrative or aftersales support role.
- Previous experience within an automotive fleet, dealership, or aftersales environment will be highly advantageous.
- Intermediate to Advanced Microsoft Excel skills are essential.
- Strong computer literacy with proficiency in Microsoft Word, Outlook, and PowerPoint.
- Excellent planning, organisational, and time management skills.
- Strong communication and interpersonal abilities.
- Ability to prioritise multiple tasks while working under pressure.
- Excellent attention to detail and accuracy.
- Customer-focused with a strong service delivery mindset.
- Analytical thinker with the ability to work independently and within cross-functional teams.
- Flexible, resilient, and proactive approach to problem-solving.
- Valid driver's licence.
- Willingness to travel and work additional hours when operationally required.
