Key Responsibilities

Property Financial Management & Budgeting

Take responsibility for the financial performance of the property portfolio, including:

• Prepare and contribute to annual property income and expense budgets
• Budget rental income based on existing leases and anticipated lease renewals
• Calculate and monitor expected turnover rental
• Monitor rates and municipal recoveries
• Use meter-reading information to forecast municipal recoveries
• Contribute to property expense budgets
• Incorporate maintenance requirements into long-term property planning
• Present budgets to the Asset Manager

Vacancy Management & Commercial Leasing

Vacancy management is a major component of the position.
You will:

• Proactively manage vacant premises
• Manage the exit process for vacating tenants
• Ensure tenant reinstatement obligations are addressed
• Prepare vacant premises for marketing
• Develop letting strategies with the Asset Manager
• Identify and approach prospective tenants
• Evaluate prospective tenant offerings against the property's letting strategy
• Maintain records of leasing discussions and activity
• Conduct initial negotiations with prospective tenants
• Obtain appropriate tenant approval documentation
• Assist with the lease-signing process
• Ensure leases are signed and deposits received before occupation

This is a proactive leasing responsibility, requiring a Property Manager who is comfortable identifying and engaging prospective tenants rather than simply administering existing leases. 

Lease Renewals & Tenant Retention

Work closely with the Asset Manager to proactively manage lease expiries and renewals.
Responsibilities include:

• Review upcoming lease renewals
• Participate in discussions around renewal terms and conditions
• Engage tenants before formal renewal offers are made
• Understand the tenant's experience within the property
• Evaluate the suitability of the premises for the tenant
• Consider tenant turnover performance where relevant
• Work towards commercially appropriate renewal outcomes
• Coordinate documentation with Lease Administration

The role requires a relationship-driven approach to commercial lease renewals and tenant retention, rather than treating renewals as purely administrative transactions. 

Arrears & Credit Control Management

Maintain a clear understanding of the rental position of every tenant and actively support the recovery of outstanding amounts.
You will:

• Monitor tenant rental arrears
• Meet regularly with Credit Control
• Assist with tenant collections and arrears resolution
• Escalate matters requiring Asset Manager involvement
• Report arrears at management meetings
• Participate in legal arrears processes
• Recommend bad-debt write-offs where appropriate

While Credit Control provides support, the Property Manager remains accountable for ensuring the portfolio receives the necessary focus to address arrears. 

Property Operations & Customer Experience

Take ownership of the overall look, feel and customer experience of the property.
This includes:

• Property presentation and appearance
• Cleaning standards
• Security standards
• Parking-area presentation
• Access to the property
• Customer and tenant experience
• Preparing vacant premises for letting
• Coordinating requirements before beneficial occupation
• Supporting tenant-installation requirements

The objective is to ensure customers and tenants experience a professionally managed, attractive and functional property environment.

Marketing & Centre Management

Where applicable, oversee the Centre Management and Marketing function, including:

• Marketing strategy and annual marketing calendar
• Marketing budget monitoring
• Campaign execution and performance
• Exhibitions and promotional activities
• Community engagement
• Social media oversight
• Tenant communication
• Marketing agency performance
• Brand management and property touchpoints
• Marketing reporting and documentation
• Regular Marketing team meetings
