Facilities Administrator

The successful incumbent will be required to oversee the cleanliness, hygiene, and soft services within our textile production environment. In this role, you’ll supervise in-house cleaning teams, manage external service providers (including hygiene, pest control, catering, and cleaning), and ensure all areas meet strict health and safety standards.

Minimum Requirements

  • A minimum of a Matric qualification.
  • A tertiary qualification in a relevant field is advantegous.
  • A minimum of 1 years experience in a facilities coordinating position or similar position.
  • Experience in the Textile Manufacturing, Retail, or Warehousing and Storage industry is advantegous.
  • MS Office knowledge.
  • Good typing skills.

Duties & Responsibilities
  • Work Planning & Control Coordination:
    • Oversee the end-to-end work order lifecycle in computerized maintenance management systems (like On Key), including logging requests, assigning work orders with correct priority and type, and scheduling tasks with internal technicians and external contractors.
  • Contractor & SLA Management:
    • Monitor on-site contractor performance
    • Track monthly scorecards against Service Level Agreements
    • Review incoming quotations and scopes of work to ensure technical and financial accuracy.
  • Asset & Inventory Administration:
    • Maintain accurate asset registers by capturing new equipment attributes, performing physical verifications, and managing on-site maintenance stock levels and replenishment.
  • Quality Control & Job Sign-Offs:
    • Perform rigorous pre-inspections of scopes and post-work over-inspections on completed tasks, ensuring job cards are correctly filled out, signed off, and audited before closure.
  • Client Communication & Reporting:
    • Act as the primary on-site operational liaison, providing stakeholders with continuous updates on work progress, delays, open work orders, and compiled performance reports.
  • Compliance & Daily Operations:
    • Facilitate daily team operational meetings, ensure adherence to health, safety, security, and environment (HSSE) standards, and handle administrative follow-ups on outstanding invoices and purchase orders.
