Executive PA Job Description Template
Our company is looking for a Executive PA to join our team.
Responsibilities:
- Act as an office manager;
- Act as the point of contact among executives, employees, clients and international stakeholders;
- Manage CEO’s calendar and set up meetings;
- Oversee the performance of other clerical staff;
- Screen and direct phone calls and emails and distribute correspondence;
- Request payments and allocate different expenses as set out by the CEO;
- Organize and maintain the office filing system;
- Format information for internal and external communication – memos, emails, presentations, reports, newsletters;
- Act as organization’s vehicle proxy;
- Make travel and accommodation arrangements for the CEO and for international stakeholders;
- Manage information flow in a timely and accurate manner;
- Take minutes during meetings.
Requirements:
- 3-5 years’ experience in an Executive PA role;
- Experience in taking minutes;
- Own transport;
- Able to stand their ground and say no;
- Driver’s License;
- Excellent MS Office knowledge;
- Ability to work independently and at times alone in the office;
- Discretion and confidentiality;
- Excellent verbal and written communication skills (English 1 st & Afrikaans 2 nd );
- Outstanding organizational and time management skills;
- PA diploma or certification is a plus;
- Be able to work well under pressure, and open to learn on the job;
- 3-5 years’ work experience as an Executive Personal Assistant;
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines);
- High School degree.
