Administrative Assistant

Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.

Our company is looking for a Administrative Assistant to join our team.

Responsibilities:

  • Internal Sales for clients who call in;
  • Processing Job Cards on Pastel;
  • Following up with clients on sent quotations;
  • Manage stock of luxury items;
  • Keep the calendar, inquiries and stock jobs well organised;
  • Working with clients face-to-face, in terms of buying their goods;
  • Administration and Organisation;
  • Customer service;
  • Manage prospective client inquiries;
  • Invoicing on Sage Accounting;
  • All PA and admin duties for the owner of the company including transporting high school children from school to home;
  • Typing up of documents;
  • Filing of documentation;
  • Updating leave schedules;
  • Processing Creditors (Excel and Sage Accounting).

Requirements:

  • Must be fully bilingual;
  • At least 1-2 years’ experience in an Administrative or Financial role;
  • Relevant BComm degree is essential;
  • Computer skills;
  • Good people skills;
  • Must have had experience in a fast-paced environment;
  • Fast learner;
  • Must have a bit of experience in ‘sales’;
  • Be a good Listener;
  • Must have experience with Excel, Outlook and Microsoft Office;
  • Must be open to learning and growing skills;
  • The ability to work with numbers (some basic maths);
  • Must be able to work with a demanding boss;
  • Must pay attention to detail;
  • Legal Secretary professional certificate or higher.
