Safari JOBS is recruiting for an enthusiastic and highly organised Sales Coordinator to join the Cape Town-based commercial team of an award-winning, ultra-luxury safari company. The role will provide high-quality administrative and sales support to the Commercial Manager and Head of Sales, while also assisting with trade partner communication, marketing coordination, financial administration and reservations support when required. The successful candidate will also work closely with the Marketing & PR Manager and collaborate across the wider commercial team, and will play an important role in keeping the commercial function organised, responsive and accurately administered, while helping to maintain strong relationships with travel advisors, tour operators, trade partners and clients. This is a full-time, office-based position in Cape Town and requires flexibility in work scheduling and responsiveness to occasional urgent operational requirements, including alternate-weekend reservations support when required. The ideal candidate will be enthusiastic, organised and highly attentive to detail, with a natural inclination towards adding structure and keeping things on track. The company is looking for a stable, committed person who is comfortable working within a practical, hands-on environment where, although important SOPs are in place, the focus is very much on getting the work done efficiently. A good understanding of the leisure buying channel would be highly beneficial. The ideal candidate is already Cape Town based, with preference for candidates residing within reasonable daily commuting distance of the Southern Suburbs. Candidates residing further afield must be comfortable with the daily commute, as hybrid or remote working cannot currently be offered. ??????? ???????????? ??? ???????????? Manage calendars and schedule meetings for the Commercial Manager, Marketing & PR Manager and Head of Sales. Liaise with travel agents and trade partners worldwide to coordinate appointments and calls. Maintain and update the CRM system, ensuring all client interactions, sales activity and follow ups are accurately recorded. Assist in the preparation of sales presentations, reports and commercial or marketing materials. Organise and track sales contracts, agreements and trade partner documentation. Send STO agreements to clients and track and file signed agreements. ????? & ??????? ????????????? Serve as a first point of contact for inbound trade partner enquiries. Assist with following up on sales leads and reservation enquiries on behalf of the Head of Sales. Assist in managing relationships with key luxury travel agencies, tour operators and travel advisors. ????????? ???????????? Support the marketing team in executing campaigns, newsletters and social media updates. Assist in organising trade events, roadshows and media FAM trips. Ensure marketing collateral is up to date and distributed to partners as needed. ????????? & ?????? ??????? Ensure the cash flow report is prepared and submitted to Finance on time. Process and track invoices, ensuring they are submitted to Finance for payment without delay. Maintain and update the budget sheet, ensuring accurate financial records and tracking of expenses. ???????????? ??????? Assist the Reservations team when the Reservationist is on leave. Answer the Reservations phone and respond to urgent reservation requests on alternate weekends. ?????? & ??????????? ????????? Promote the interests of the Companys employees, guests, clients and potential clients at all times. Treat clients, guests, potential clients, employees and trade partners with courtesy and professionalism. Handle enquiries and complaints concerning the Companys service with courtesy, urgency and appropriate follow through.
