• Answering and Directing Phone Calls : Managing incoming calls and forwarding them to the appropriate department or person.
• Scheduling Appointments and Meetings : Coordinating and organizing appointments, meetings, and events, ensuring calendars are up to date.
• Administrative Support : Handling filing, organizing documents, and maintaining office supplies.
• Data Entry and Record Keeping : Managing and inputting data into systems, updating records as needed.
• Invoicing and Billing : Preparing, issuing, and tracking invoices, often using accounting software .
• Correspondence : Drafting and sending emails, letters, or other communications on behalf of the team or executive.
• Travel Arrangements : Organizing travel plans, including booking flights, accommodation, and transportation for staff or executives.
• Customer Service : Acting as the first point of contact for clients or visitors, providing assistance and answering queries.
• Office Organization and Maintenance : Ensuring the office runs smoothly by keeping it organized, maintaining equipment, and assisting with any office-related needs.
• Event Planning : Organizing company events, conferences, or client meetings.
• Project Assistance : Supporting ongoing projects, including preparation of materials, research, and coordination with other departments.
• Miscellaneous Tasks : Handling any additional tasks as needed to support the office or team, such as running errands or preparing presentations.
