SUMMARY
The Reservations and Sales Coordinator is responsible for managing reservations, supporting sales activities, maintaining strong client relationships, and ensuring exceptional customer service. The successful candidate will handle booking enquiries, process reservations accurately, assist with sales initiatives, and support revenue growth through efficient coordination and communication.
Key Responsibilities
Reservations Management
- Manage reservations via telephone, email, online platforms, and travel agents
- Process bookings, amendments, cancellations, and special requests accurately
- Ensure all reservation details are captured correctly on the booking system
- Monitor availability, rates, and occupancy levels
- Confirm reservations and provide clients with relevant booking information
Sales Coordination
- Assist with sales activities and promotional campaigns
- Build and maintain strong relationships with clients, agents, and corporate partners
- Prepare quotations, proposals, and contracts
- Follow up on enquiries and convert leads into confirmed bookings
- Support the achievement of occupancy and revenue targets
Customer Service
- Provide professional and efficient customer service at all times
- Handle guest and client queries promptly and professionally
- Resolve booking issues and complaints effectively
- Ensure excellent communication with guests before arrival
Administration
- Maintain accurate reservation records and filing systems
- Prepare daily, weekly, and monthly reservation and sales reports
- Assist with invoicing, payment tracking, and reconciliations where required
- Coordinate with operations and front office departments regarding arrivals and guest requirements
Marketing Support
- Assist with maintaining OTA platforms and booking channels
- Support social media or marketing initiatives where required
- Assist in promoting special offers and packages

Minimum Requirements Grade 12 or equivalent Diploma or qualification in Hospitality, Tourism, Sales, or related field advantageous Minimum 2-4 years' experience in reservations, sales coordination, or hospitality administration Previous lodge, hotel, or tourism experience preferred Knowledge & Skills Strong knowledge of reservation systems and booking platforms Excellent communication and interpersonal skills Strong administrative and organisational abilities Sales and customer service orientated Computer literate with knowledge of Microsoft Office Ability to multitask and work in a fast-paced environment High attention to detail and accuracy Competencies Professionalism and reliability Time management skills Problem-solving ability Ability to work independently and within a team Strong customer service focus Ability to work under pressure Advantageous Experience with PMS and reservation systems Knowledge of OTA platforms and travel industry operations Experience in luxury hospitality or lodge environments Own transportation advantageous Ability to work weekends and public holidays when required
