Our client, a leading textile manufacturing company , is seeking a highly organised and detail-oriented

Shipping Assistant to support their shipping, logistics, import, and export activities. The successful candidate will assist with coordinating shipments, preparing shipping documentation, liaising with freight forwarders and transport providers, and ensuring that imports and exports are processed accurately and on time.

Key Responsibilities

• Assist with the coordination of local and international shipments .
• Assist with the administration of imports and exports of textile products and raw materials.
• Prepare and maintain accurate shipping and export documentation.
• Assist with preparing commercial invoices, packing lists, delivery notes, certificates, and other shipping documentation .
• Liaise with freight forwarders, clearing agents, shipping lines, transport companies, suppliers, and customers.
• Monitor shipments from dispatch through to final delivery.
• Track import and export shipments and provide updates on shipment status.
• Assist with coordinating collection and delivery arrangements.
• Follow up on outstanding shipping documentation and customs requirements.
• Assist with ensuring that shipments comply with relevant import and export requirements.
• Check shipping documents for accuracy and ensure information matches purchase orders, sales orders, invoices, and packing lists.
• Assist with customs clearance processes and provide required documentation to clearing agents.
• Monitor shipment ETAs and follow up on delays or discrepancies.
• Maintain accurate records of all import and export transactions.
• Capture shipping information on internal systems and spreadsheets.
• Assist with maintaining shipping schedules and shipment trackers.
• Communicate shipment information and updates to relevant internal departments.
• Liaise with the warehouse and production departments to ensure goods are available and ready for dispatch.
• Assist with resolving shipment discrepancies, documentation issues, and delivery delays.
• Maintain organised electronic and physical filing systems for shipping documentation.
• Assist with monitoring freight costs and shipping-related charges where required.
• Ensure all shipping documentation is available for audit and record-keeping purposes.
• Perform general shipping and logistics administration as required.

Minimum Requirements

• Matric (Grade 12).
• A qualification in Logistics, Supply Chain Management, Shipping, Imports & Exports, or a related field will be advantageous.
• Minimum 2–3 years' experience in a shipping, logistics, imports/exports, or supply chain administration role.
• Textile, manufacturing, or FMCG industry experience will be advantageous.
• Practical experience dealing with imports and exports is essential/preferred.
• Experience dealing with freight forwarders, clearing agents, shipping lines, and transport companies .
• Good understanding of shipping and import/export documentation.
• Knowledge of commercial invoices, packing lists, bills of lading, airway bills, and certificates of origin will be advantageous.
• Knowledge of customs clearance processes and import/export procedures.
• Strong Microsoft Excel and administrative skills.
• Experience working with ERP, logistics, or shipping systems will be advantageous.
• Excellent attention to detail and accuracy.
• Strong communication and follow-up skills.
• Ability to work under pressure and meet strict shipping deadlines.

Textile manufacturing experience will be highly advantageous , particularly for candidates who have dealt with the movement of textile products, fabrics, raw materials, or finished goods internationally.
