Junior IT Co-Ordinator

Overview: The Junior IT Coordinator plays a key role in supporting and coordinating IT administrative activities within the IT division. This role involves managing the procurement of IT equipment and services, vendor management, and handling administrative tasks related to IT operations. You will assist with RFI's and RFP's, track financial and procurement data, and ensure smooth coordination of meetings and documentation.

Key Responsibilities:

  • Procurement and Vendor Management:
    • Process IT equipment purchase requests according to company policies and procedures.
    • Research and compare IT equipment options based on specifications and budget constraints.
    • Prepare RFI's (Request for Information) and RFP's (Request for Proposal).
    • Obtain and evaluate quotes from vendors, negotiate competitive pricing, and place purchase orders.
    • Track order status, manage deliveries, and maintain accurate inventory records.
  • Administrative Coordination:
    • Coordinate with IT staff on equipment deployment and installation.
    • Assist with IT asset management, including tagging and tracking equipment.
    • Maintain clear and organized documentation for all IT equipment purchases.
    • Facilitate IT administrative activities, including meetings, task tracking, and documentation.
  • Support and Reporting:
    • Support the IT Executive and divisional staff with various tasks and administrative needs.
    • Create and manage reports on IT division activities.
    • Utilize technology to streamline administrative processes and enhance efficiency.

Qualifications:

  • Education:
    • Bachelor’s degree (or equivalent experience) in a relevant field such as Business Administration or Project Management.
  • Experience:
    • Minimum of 1 year of experience in a similar role.
    • Familiarity with IT terminology and concepts.
  • Skills:
    • Strong organizational skills with meticulous attention to detail.
    • Excellent communication and interpersonal skills, capable of interacting professionally with all levels of staff.
    • Proficient in Microsoft Office Suite (Word, Excel).
    • Ability to learn and adapt to new technologies and processes.
    • Strong problem-solving skills and ability to work independently while collaborating effectively with a team.
