Payroll Manager

My client is seeking an experienced, authoritative and highly analytical Payroll Manager to lead and scale a high-volume payroll function within a growing multi-entity environment.

A key requirement of the role is advanced PaySpace expertise , with the successful candidate acting as the internal PaySpace Super User , responsible for system configuration, parameter changes, entity setup and ongoing system administration.

This role is based in Centurion

Key Responsibilities:
Payroll Leadership & Governance:

• Lead, manage, train and develop a team of 3 Payroll Officers.
• Establish structured workflows, allocate responsibilities and manage departmental capacity.
• Enforce strict monthly payroll deadlines and a "first-time-right" approach.
• Monitor performance and hold team members accountable for deliverables.
• Develop and implement internal controls, checking mechanisms and payroll processes.
• Continuously identify opportunities to improve payroll efficiency and accuracy.

Payroll Processing & Financial Controls:

• Oversee the end-to-end monthly payroll process for 1,500+ employees across multiple entities.
• Review and process wage sheets, biometric clocking data, new appointments, salary adjustments, variable pay and terminations.
• Ensure payroll data is accurate, complete and processed within required deadlines.
• Perform detailed payroll ledger and account reconciliations.
• Investigate and resolve payroll-related queries and discrepancies.
• Authorise bank payment uploads.
• Prepare payroll and executive reports using Smart Reports.

PaySpace System Administration:

• Act as the internal PaySpace Super User .
• Configure system parameters, modules and payroll rules.
• Manage system access controls and user rights.
• Set up system functionality for new operational requirements.
• Assist with the implementation and onboarding of new entities onto the payroll system.
• Ensure the payroll system remains accurately configured and aligned with business requirements.

Statutory Compliance & Entity Registrations:

• Manage monthly, bi-annual and annual SARS payroll submissions, including EMP201 and EMP501 .
• Oversee IRP5 configurations, processing and distribution.
• Manage SARS eFiling and EasyFile requirements.
• Register new entities with SARS, the Department of Employment and Labour, COIDA/WCA and relevant Bargaining Councils.
• Reconcile and submit statutory information to:
  • Bargaining Councils
  • UIF
  • Compensation Fund / WCA / COIDA
  • Provident Funds
• Ensure compliance with applicable South African payroll and employment legislation, including the BCEA, COIDA and SARS legislation .

Job Experience and Skills Required:

• Grade 12 / Matric – Essential .
• Diploma or Degree in Payroll, Accounting, Finance, Human Resources or a related field – Highly advantageous .
• Minimum 8 years' hands-on payroll experience .
• Minimum 5 years' experience in a payroll management or team leadership capacity .
• Proven experience managing payrolls of 1,500+ employees .
• Strong experience within a multi-entity payroll environment .
• Advanced PaySpace experience – Non-negotiable.
